Board Meetings

Monthly Board Meetings – A highly skilled Minute Taker attends monthly Board meetings to document key areas of the meeting, including but not limited to Action items and Motions. Our format is clear and concise, and assists Property Management with items to have prepared for the next monthly meeting. We aim for consistency not only with our minutes, but with our Minute Takers. Our goal is to have the same Minute Taker return to the same monthly meeting as often as possible. Our service and fees also include “in camera” minutes, to save Management and the Board time from redacting minutes when necessary.

Owners Meetings

Owners’ Meeting –Throughout the year, many Boards organize and hold Town Hall information sessions or special owners’ meetings based on certain events taking place within the building. To ensure full engagement in the meeting from the Board and Management, a Minute Taker is hired to document key content and to record questions and answers, concerns and comments accurately.

Turnover Meetings

Turnover Meetings – When more than 50% of the units are registered, a Turnover Meeting is called to elect the new Board of Directors. This is a critical meeting in the history of the Corporation. It is at this meeting that the Developer is required to “turnover” time-sensitive documents that are crucial to the future of the Corporation, in compliance with the “Ontario Condominium Act, 1998.”. A skilled and independent Minute Taker who will capture the business transactions, is an essential component to the Turnover meeting.

Annual General Meetings

AGM’s – Annual General Meetings frequently include the active participation of a number of owners and stakeholders, along with presentations by the Corporation’s Auditor and at times, the Corporation’s Solicitor. Accurate documentation of these meetings is imperative as they become a legal document of the Corporation. A Minute Taker is required to ensure a true and complete record of the questions and answers in an objective manner, and to accurately document formal motions.

Performance Audits

Performance Audit Meetings – in the new life of a condominium, clear and accurate documentation is essential in the meetings involving the Board, Management, the Developer and at times Tarion. These heavily detailed meetings involve tracking numbers linking to repairs and warrantable items and a Minute Taker present ensures that the Board and the Corporation are present and involved in the meeting discussion vs. documenting minutes.
